Introduction to Jobs
Find any job, read its page, follow its status, and find where each action lives.
A job is one piece of work for a contact. Its visits, quotes, invoices, checklist, and notes sit on one job page, opened from Jobs.
Find jobs on the list and board
Open Jobs and choose List or Board. The board is the default.
Narrow the page with filters:
- Pick a Status. It defaults to Open, which hides Canceled and Paid jobs. Choose All for every status.
- Pick an Assignee: All or Me.
- Pick a Schedule: All, Scheduled, or Unscheduled.
- Type part of a title in the search box.
Each board column is one status. A card shows the job title, job number, contact, value, assignee or Unassigned, and next visit or Unscheduled. With edit access, drag a card to another column to change its status.
To add a job, select New job in the page header. Members who can edit jobs see it. See create a job.
Read a job's page
Select a job in the list or on a board card. The breadcrumb reads Jobs and Job #N.
- Header: the job title, the status control, and the action menu. A job from a recurring series links to its series.
- Summary: Customer, Assigned to, Job value, and Next visit.
- Side column: customer details and the Service address card, with directions and a map.
- Financial summary: Quoted, Invoiced, Paid, and Outstanding.
- Section links: one per section below.
- Checklist: work items for the job. See use job checklists.
- Notes: internal team notes. A job converted from a lead names that lead here.
- Schedule: the job's visits. See introduction to the schedule.
- Quotes: attached quotes. See create a quote.
- Invoices: attached invoices. See create an invoice and collect a payment.
- Photos & Docs: appears while job files are on. See share job photos and documents.
- Automation: appears to members who can edit jobs, when review requests are on.
- Activity: a log of changes to the job.
Where each action lives
- Job title: select it in the header. Read-only when the job is closed or you cannot edit.
- Status: the header control. Its menu lists the statuses, Put on hold or Take off hold, and Cancel job.
- Assigned to and Job value: in the summary. A job with no value shows Not priced yet.
- Service address: the selector on that card. Choose another saved address to send the job there.
- Visits: Schedule in the Schedule section. The Delete slot icon removes a visit.
- Quotes: Attach existing and Create new in the Quotes section. The Quote actions menu holds Mark accepted, for draft or sent quotes, and Detach.
- Invoices: Attach existing and Create new in the Invoices section. The Invoice actions menu holds Detach.
- Checklist: tick an item to mark it done. Adding items and the Templates menu need full checklist access. The menu holds Apply a template, Save as template, and Manage templates.
- Review requests: the Request review when completed switch in the Automation section.
- Header action menu: Schedule a visit, Create a quote, Create an invoice, Unlink lead #N, Ask for a review, and Delete job. Items show only when your access allows them.
Warning
Deleting a job removes it from the list and board. Only members with full job access see Delete job.
Statuses
Every job has one status. The main flow runs in this order: New, Needs scheduling, Scheduled, In progress, Completed, Invoice sent, and Paid.
To set a status by hand, pick one from the status control. A move to an earlier status applies only after you confirm it.
Some statuses change on their own, each only when the job has the matching visit, quote, or invoice.
- New moves to Scheduled when a future visit exists, or to Needs scheduling when an attached quote is accepted.
- Needs scheduling moves to Scheduled when a future visit exists.
- Scheduled moves to In progress when a visit starts, and back to Needs scheduling when no visits remain.
- In progress moves back to Scheduled when a future visit exists and none has started.
- In progress and Completed move to Invoice sent when an attached invoice is sent.
- Invoice sent moves to Paid when every attached invoice is paid.
Hover over the status for its latest automatic change.
Put on hold saves the job's current status. Take off hold returns the job to that status, or to New when none was saved. A Canceled or Paid job cannot be put on hold.
A job that is On hold keeps its status when its visits, quotes, or invoices change.
Paid and Canceled are closed. Editing controls are disabled, and visits, quotes, and invoices cannot be added.
Who can do what
