Introduction to the Schedule
See every visit, event, request, and time off on one calendar, filtered to the people you pick.
The Schedule puts jobs, events, requests, tasks, and time off on one calendar, with Day, Week, and Month views.
Switch views and move between dates
Change the range with the view control and the arrows.
- Select Day, Week, or Month.
- Select the left or right arrow to move one day, week, or month.
- Select Today to return to today.
The calendar shows the range you chose.
Tip
Press T for today, D, W, or M for the views, and the arrow keys to move.
Filter by team, type, and status
Team defaults to Me, which shows items assigned to you and items with no assignee. Choose All for everyone, or one member for that person's items. Time off and the Unscheduled panel follow Team only.
Type and Status narrow the grid as follows:
- Requests, Tasks, and Events each show only that kind. Job visits and recurring visits appear only under All.
- Scheduled shows active items. Unscheduled shows items with no time or date. Completed shows finished items. Canceled shows canceled and lost items.
Type, Status, and Team must all pass for an item to show. Time off and holidays ignore Type and Status.
Create an item
Creating and moving items needs Edit or Full access. To pick a time from the grid, use Day or Week view:
- Press an empty spot in a day column, not on an existing item.
- Drag down to the end time, or click once for the default length.
- Release to open the create panel for that time.
The create panel opens for the day and time you picked.
Select Create in the header on desktop, or the plus button on a phone. The panel opens for today at 9:00 AM.
Note
Month view doesn't create items from the grid, so use Create there.
Move an item to a new time
Drag an item to a new time or day.
- Press the item you want to move.
- Drag it to its new time in Day or Week view, or to another day in Month view.
- Release the item.
The item appears at its new time or day.
Tip
On a touch screen, press and hold the item for about 350 milliseconds before you drag.
A timed item keeps its length. In Month view, it keeps its time of day, while an untimed request or task moves to a day with no time. Events, jobs, and recurring visits with no time can't move in Month view.
Recurring visits can't be dragged. Dragging one occurrence of a repeating event moves only that occurrence. See Repeat an Event.
Unschedule a request or task
Unscheduling clears the time and date from a request or task.
- Select Unscheduled in the filter row on desktop, or open More options and select Unscheduled on a phone.
- Press the request or task on the calendar.
- Drag it onto the panel and release.
An open request or task then appears in the Unscheduled panel.
Note
Events, jobs, and recurring visits can't be unscheduled this way.
What appears on the calendar
The calendar shows these items:
- Job visits: events linked to a job, shown with the job's number and title.
- Events: other events, including each occurrence of a repeating event.
- Requests: open requests with a time in view, or with a date and no time.
- Tasks: tasks with a time in view, or with a date and no time. Every status loads, so Status decides what shows.
- Bookings: a booking appears as its request, and its event is hidden while the open request is on the calendar. See Respond to a Booking Request.
- Recurring visits: visits from recurring jobs. A recurring visit with no job yet is faded with a dashed outline.
- Time off: pending and approved requests that overlap the view. Pending bars are dashed and approved bars are solid. Clicking a bar opens time off.
- Holidays: company holidays appear on their dates.
- Unscheduled panel: open requests and tasks with no time or date, up to 50 of each, newest first.
Day and Week views can show a route-planning offer when one day has three or more job or recurring visits with a start time. Canceled visits and items hidden by your filters don't count. Month view never shows the offer, and only users with full settings access see it.
Members whose access is only View (assigned) or Edit (assigned), such as the default Tech role, see only their own work: requests and tasks assigned to them, visits on their jobs, events they're invited to, their recurring visits, their own time off, and company holidays. The Team filter and Find a time are hidden for them, and they can't change anything on the Schedule.
