Share Job Photos and Documents

Upload photos and documents to a job, sort them, and send a customer a link you can revoke.

Each job has its own library of photos and documents. The library appears on each job's page. Upload files, sort them into folders and categories, and share selected files with a customer through a link you can revoke.

Upload files to a job

Uploads go into the folder that is open, or the top level of the library when no folder is open.

  1. Open the folder the files belong in, or stay at the top level of the library.
  2. Click Upload.
  3. Choose one or more files in the picker.

On a touch screen, Take photo opens the camera to add one photo. Files of a type the library does not accept are skipped. Each file appears in the list under its name once it uploads.

Tip

Drag files anywhere on the page to upload them without the picker.

Create folders and move files

Folders group related files. Moving an item changes only where it sits in the library.

  1. Click New folder.
  2. Enter a name in Folder name.
  3. Click Create folder.
  4. Drag a file or folder onto a folder, or onto the Job files breadcrumb.

To move an item without dragging, open its menu, choose Move to, and click a destination. The first entry moves the item to the top level of the library. The moved item then appears in its new folder and no longer appears in the folder it left.

Note

A folder cannot move into itself or into one of its own subfolders.

Set a category

A category is a short label that you apply to one file at a time.

  1. Choose Set category from the menu on the file.
  2. Choose a preset, or type a name in Custom category.
  3. Click Save category.

The file's tile shows its new category as a chip. On a photo or video, you can also open it and click the tag icon. To remove a category, clear Custom category and click Save category.

When the files fall into more than one category, a row of chips appears above the list, and choosing a chip shows only its files. Files with no category are grouped under Uncategorized.

Share files with a customer

A share link opens a read-only page of the files you select. Anyone with the link can open it without signing in.

  1. Click Select above the list.
  2. Tick the checkbox on each file to share.
  3. Click Share in the bar that shows the selected count.
  4. Optional: enter a name of up to 60 characters in Link name (optional).
  5. Under Expires, click 7 days, 30 days, or Never.
  6. Click Create link.
  7. Click the copy button beside the new link.

The new link appears under Active Links. Folders have no checkbox, so a folder is not shared directly. The expiry defaults to 30 days.

A link holds only the files you ticked. Files added to the same folder later are not included.

Warning

Anyone with the link can view its files and download documents until it expires or you revoke it.

Revoking stops a link from opening its files. The files stay in the job's library.

  1. Click the button above the list that shows the number of shared links.
  2. Click the trash icon on the link.
  3. Click Revoke in the confirmation.

The link leaves the Live Links list, and anyone with the old link can no longer open the files.
