Create and Edit Roles and Permissions
Set what each role can see and change, and reassign its members when you delete one.
Roles decide what each person on your team can see and change in each area of JobWise Pro. Create, edit, and delete roles on Roles & Permissions, under Settings in the Team group.
Create a role
Create a role when none of the existing roles fits the work a person does.
- Click Create role in the page header.
- Enter a Name, up to 50 characters.
- Enter a Key with only lowercase letters, numbers, and underscores, up to 40 characters.
- Optionally, enter a Description, up to 200 characters.
- Choose a level for each area under Permissions. Every area starts at No access.
- Click Create role at the bottom of the dialog.
The new role appears below the system roles, sorted by name.
Note
You can't change a key after you create the role.
Edit a role
Edit a role to change what it can do, or to rename a custom role.
- Click Edit on the role's row.
- On a custom role, change Name or Description at the top of the dialog.
- Choose a new level for any area under Permissions.
- Click Save changes.
The dialog closes, and the summary line in the role's row lists the new levels.
Note
Saved changes apply to everyone who has the role, except in an area where a member has a level of their own.
Delete a role
Delete a custom role that no one needs. Its members move to a role you choose.
- Click the trash icon on the role's row.
- Choose a role under Reassign members to.
- Delete role stays disabled until you choose a role.
- Click Delete role.
The role leaves the list.
Warning
Members of a deleted role move to the role you pick, so their access follows that role unless a level was set on them personally.
Permission levels
Each role sets one level for each of the 21 areas. The dropdown lists the levels in this order:
- No access: the person can't see or change the area.
- Limited: sees every item, with some features restricted, and can't change them.
- View (assigned): sees only the items assigned to them, such as jobs, and can't change them.
- View: sees every item and can't change them.
- Edit (assigned): sees and changes only the items assigned to them.
- Edit: sees and changes every item.
- Full: sees, changes, and manages every item.
Each role's summary line lists its areas by level, from Full down to Limited, with up to three names per level.
The owner has Full in every area, whatever the owner's role says. Plan & Billing shows your plan and needs Settings at Full, except in the iOS app.
Who can change roles
- Only the owner, and people with Team at Full, see Roles & Permissions in Settings and can change roles.
- JobWise support staff with support access can't create, edit, or delete roles, or change a member's role.
- You can't give a role, or move members to one, with more access than you have. The change is refused and nothing changes. When you edit a role, only the areas whose level you change are checked.
- You can't change the permissions of your own role.
- Only the owner can change the permissions of the Admin role.
- Only the owner can make someone an admin, by changing their role or by moving members on delete.
- The owner is exempt from the access limits above.
- A system role keeps its name, key, and description. You can change only its permissions, and you can't delete it.
- A key can't match a system role's key or a key that a role already uses.
- Roles are assigned on Team Members, where you also invite and remove people. You can't change your own role there. See Invite team members and Remove a member or leave.
- A level set on one person replaces their role's level for that area. This page edits roles only.
The six system roles
Roles with a System badge are the six system roles. They start with these levels.
- Admin: Full in every area.
- Manager: Full in most areas, and Edit in Analytics. Team, Settings, and Revenue get No access.
- Office Staff: Edit in most areas, and Full in Job Checklists. Team, Settings, Revenue, and Time Tracking get No access.
- Team Lead: Edit in ten areas, including Quotes and Schedule. View in Invoices, Automations, Analytics, and Reviews. Team, Settings, and Revenue get No access.
- Sales: Edit in Quotes, Contacts, SMS / Phone, Quoting Tools, and Lead Pipeline. Team, Settings, and Revenue get No access.
- Tech: Edit (assigned) in Job Pipeline, Job Checklists, Time Tracking, Routes & Dispatching, and Expenses. View in Dashboard, Quotes, Contacts, and Quoting Tools. View (assigned) in Schedule, and Limited in SMS / Phone. Everything else is No access.
