Create a Job
Set up a job for a contact, assign your crew, book its visits, and move it to completion.
A job tracks one piece of work for a contact, from New to Paid or Canceled. You create it on the Jobs page, then assign it, schedule visits, and attach quotes and invoices. For an overview, read Introduction to Jobs.
Create a job
Use this when a contact has work to do.
- Open Jobs and click New job.
- Choose a Contact. The contact must already exist.
- Enter a Title, such as
Backyard fence install. - Choose a Service address.
- A job cannot be created without a service address.
- Optionally set an Assignee, a Value, or Notes.
- Click Create job.
The job opens on its own page with the status New. The form sends no visit times, so schedule the job afterward.
Note
At the active job limit, the form cannot create a job. Every status except Paid and Canceled counts toward the limit.
Assign a crew member
Set the team member responsible for the job.
- Open the job from the Jobs list.
- Find the Assigned to field on the job page.
- Choose a team member.
- Only members of your organization can be assigned.
- Members limited to their own jobs can edit only jobs assigned to them.
The job's activity records the change.
Schedule a visit
A visit puts the job on the calendar. Add one for each visit.
- Click Schedule in the Schedule section.
- Set the Start date. It defaults to today.
- Set the Start time. It defaults to 09:00.
- Set the End date. It defaults to today.
- Set the End time. It defaults to 10:00.
- The end must come after the start.
- Click Schedule in the dialog to save the visit.
The visit appears in the Schedule section, and its calendar entry uses the job's title.
Remove a visit that no longer happens. Removing a visit needs full access to the schedule.
- Find the visit you want to remove.
- Click the trash icon on that row.
- Confirm the removal with Delete.
Note
Removing a visit takes it off the calendar for everyone assigned to it.
Attach quotes and invoices
Attach quotes and invoices that belong to this job. They change the job's status.
- Find the Quotes section on the job page.
- Click Attach existing and choose the quote.
- To write a new quote, click Create a quote when the section is empty, or Create new otherwise. It opens with this contact and job chosen.
- Find the Invoices section on the job page.
- Click Attach existing and choose the invoice.
- To write a new invoice, click Create an invoice when the section is empty, or Create new otherwise.
Move the job through its statuses
Change the status by hand as the work moves on. Each change is logged on the job.
- Click the status control on the job page, the one with the dot icon.
- Choose the new status from the menu.
- Moving to an earlier status needs Move back to confirm.
- Choosing Completed can send the contact a review request, if the job has review requests on.
- To pause the job, choose Put on hold. To resume it, choose Take off hold.
- Take off hold returns the job to the status it had before the hold, or to New if no status was saved.
- Paid and Canceled jobs cannot be put on hold.
- To end the job, choose Cancel job.
Delete a job
Only people with full job pipeline access can delete a job.
Warning
Deleting a job is irreversible.
- Open the actions menu on the job page.
- Choose Delete job.
- Confirm the deletion with Delete.
The page returns to the Jobs list.
What each status means
- New: The job has been created. It moves to Scheduled when a future visit is added, or to Needs scheduling if it has an accepted quote and no future visit.
- Needs scheduling: The job has no future visit. A future visit moves it to Scheduled.
- Scheduled: The job has a future visit. It moves to In progress once one of its visits starts. It moves back to Needs scheduling when its last visit is removed.
- In progress: One of its visits has started. It moves to Invoice sent once a sent invoice is attached. If none of its visits has started and a future visit exists, it moves back to Scheduled.
- Completed: Set by hand from the status menu. It moves to Invoice sent once a sent invoice is attached.
- Invoice sent: A sent invoice is attached. It moves to Paid once every attached invoice is paid.
- Paid: Every attached invoice is paid. Paid is final.
- On hold: Set by hand with Put on hold. The status does not change on its own while the job is on hold.
- Canceled: Set by hand with Cancel job. Canceled is final, like Paid.
