Introduction to Leads
Track each prospect from first contact to won or lost, and find where each action lives.
A lead is a sales opportunity for one contact. Each lead sits in a stage on the Leads board, and from its panel you can mark it won, lost, or abandoned.
Add a lead
Add a lead by hand from the stage where it starts.
- Click Add lead at the bottom of a stage column.
- Choose a Customer in the New lead dialog.
- Optionally enter a Deal value (USD).
- Click Create lead. It stays disabled until you choose a contact.
The new lead is created in the column you clicked, assigned to you, with the source Manual entry.
Leads also arrive from other sources:
- A contact form on your site creates a contact and a lead with the source Website form when the form's create a contact and lead setting is on.
- A booking on your public booking page creates a contact and a lead, titled with the appointment type. The lead's source is Website form.
- A lead from Angi is created when Angi is enabled for your organization, with the source Referral.
- Each service quoted through an instant quote creates its own lead when the request has a contact on file. The lead's source is Website form, and its deal value is the service's total.
Instant quotes linked to a lead appear as cards on its Overview tab, showing each quote's status and total.
Angi setup is in Receive leads from Angi.
Move a lead through the pipeline
Move a lead to another stage by dragging its card on the board.
- Find the card in its current column.
- Drag the card onto the new stage column.
- Release the card where it belongs in that column.
The card sits in the new column, and the move is listed in the Activity tab.
Note
Dragging needs edit access to the lead pipeline.
Quotes and invoices on a job linked to a lead can move that lead. A sent quote moves an open lead to Quote Sent, an accepted or converted quote moves it to Quote Approved, and a paid invoice marks it won. Moves only go forward and only touch open leads. Automation is covered in Automate lead stages.
Win, lose, or abandon a lead
Close a lead from its panel once the deal is decided.
- Click the card to open the lead's panel.
- Click Mark won.
- Review or change the Final deal value (USD), which starts at the lead's deal value or 0.
- Click Confirm won.
The panel closes. The lead stays on the board with a status badge.
To mark a lead lost or abandoned, choose that outcome in the panel and confirm in the dialog. Both close the panel.
A closed lead shows a reopen action in place of those outcome buttons, and reopening adds a Reopened entry to the Activity tab.
Remove a lead
Delete a lead from its panel to remove it from the board.
- Click the card to open the lead's panel.
- Scroll to the bottom of the panel.
- Click Delete lead.
- Click Delete in the dialog.
The lead leaves the board.
Warning
Deleting a lead cannot be undone. Linked jobs, quotes, and bookings stay in your account but are no longer linked to the lead.
Pipelines and stages
- The default setup creates one pipeline named Leads, with seven stages in order: New, Contacted, Quote Sent, Quote Approved, Won, Lost, and Abandoned.
- Won, Lost, and Abandoned start collapsed. Clicking a stage header toggles it.
- The New pipeline dialog takes a Pipeline name of up to 80 characters.
- Only admins and owners add or change stages.
Stage setup is covered in Customize pipelines and stages.
Who can do what
Your role sets your access to leads.
- With view access, you can see the board and Win Rates.
- With edit access, you can add, move, and close leads, and add notes and tags.
- With full access, the Delete lead button appears in the panel.
- Creating a pipeline needs edit access to settings.
- With View (assigned), the board shows only leads assigned to you, and you can't change them.
- With Edit (assigned), you can also move, update, tag, note, close, and reopen those leads, but you can't create, reassign, or delete leads. Win Rates and Activity stay hidden at both levels.
- Convert to job appears on an open lead with no job yet, when your role can edit jobs. The panel asks for a service address first when the contact has no address on file. Jobs are covered in Introduction to Jobs.
