Move a Lead Through Your Pipeline
Move leads between stages, mark them won or lost, convert to jobs, or delete them.
A lead moves between the stages of its pipeline. Drag a lead's card on the Leads board, or click the card to open its detail panel, where the other actions are.
Move a lead to another stage
Use this when a lead has reached the next step in its pipeline.
- Find the lead's card in the column for its current stage.
- Drag the card over the column for the new stage.
- Drop the card at its new position in that column.
The lead moves to the new stage at the spot where the card was dropped, and the move is logged on the lead's Activity tab.
Note
The Stage field in the lead's panel also moves the lead. It places the lead at the bottom of the new stage.
Mark a lead won
Use this when the customer accepts the work and the final deal value is known.
- Click the lead's card to open its detail panel.
- Click Mark won.
- Enter the amount in Final deal value (USD).
- Click Confirm won.
The lead's status becomes won, and its deal value is set to the amount entered.
Mark a lead lost or abandoned
Use this when a lead will not go forward, and choose the status that fits best.
- Click the lead's card to open its detail panel.
- Click Lost or Abandoned.
- Confirm the change in the dialog.
The lead's status becomes lost or abandoned, and its deal value stays the same.
Reopen a closed lead
Use this when a won, lost, or abandoned lead needs more work.
- Click the lead's card to open its detail panel.
- Click Reopen.
- Confirm the reopen in the dialog.
The lead's status becomes open, and the reopen is recorded in its activity.
Turn a lead into a job
Use this when an open lead is ready to be worked as a job.
- Click the lead's card to open its detail panel.
- Click Convert to job.
- If an address dialog opens, enter Address line 1.
- The dialog opens when no address on the lead, its contact, or the contact's saved addresses has both an address line and a city.
- Enter City in the same dialog.
- Click Save and convert to job.
- Click Save only instead to save the address without converting.
The new job opens with the lead's title, deal value, assigned person, contact, and service address.
Note
If your plan's active job limit is reached, no job is created. See Change your plan.
Write a quote for a lead
Use this when the customer wants a price before the work is booked.
- Click the lead's card to open its detail panel.
- Click New quote.
- The button shows when the lead has a contact, Quotes is on your plan, and you can edit quotes.
- Write and send the quote. The editor opens with the lead's contact filled in.
The quote belongs to the contact, so it shows on the contact's page. See Create a quote for the editor.
Delete a lead
Use this when a lead no longer belongs in the pipeline.
- Click the lead's card to open its detail panel.
- Click Delete lead at the bottom of the panel.
- Click Delete in the confirmation dialog.
- If the lead has linked jobs, quotes, or bookings, the dialog says how many will be unlinked before confirming.
The lead leaves the pipeline, and its linked jobs, quotes, bookings, and activity are kept but unlinked.
Warning
Deleting a lead cannot be undone.
What each action needs and changes
- Move to a stage: Needs edit access to leads. A move into a won, lost, or abandoned stage also changes the lead's status when that automation is on. A lead that is already won, lost, or abandoned keeps its status. When a move marks the lead won, the win is recorded at its current deal value.
- Mark won: Needs edit access to leads. Winning adds the win to the lifetime totals of the contact. The contact also gets the Customer tag when that automation is on. An invalid amount is rejected, and the lead stays open.
- Deal value of a won lead: Needs edit access to leads. The amount on the lead's win in its activity is updated, and the contact's lifetime total changes by the difference.
- Lost or abandoned: Needs edit access to leads. When the matching automation is on, the lead also moves to the pipeline's stage for that status.
- Reopen: Needs edit access to leads. If the pipeline has a stage for new leads, the lead moves into it, and the contact's totals do not change.
- Convert to job: Needs edit access to jobs. The button appears only for an open lead with no job yet.
- Delete lead: Needs full access to leads.
Each finalized service on an instant quote creates its own lead, once per service. Quotes linked to a lead appear on its Overview tab.
