Customize Pipelines and Stages
Add pipelines and stages, reorder and rename them, and choose the default pipeline that new leads go into.
Pipelines hold the stages your leads move through. Each stage is a column on the Leads board. Manage them on Pipelines & Stages in Settings.
Create a pipeline
Add a pipeline for leads that follow a different process.
- Open Pipelines & Stages in Settings.
- Select New pipeline.
- Type a name in the Pipeline name field, up to 80 characters.
- Select Create pipeline.
The new tab opens with seven stages: New, Contacted, Quote Sent, Quote Approved, Won, Lost, and Abandoned.
Add, edit, and delete stages
Select the pipeline's tab first.
Add a stage
Add a stage to the open pipeline. Names must be unique within it.
- Select Add stage in the Active Stages header.
- Type a name in the Stage name field, up to 60 characters.
- Pick a color from the swatches.
- Choose an option under Move leads here automatically. The default is Never.
- Select Add stage in the dialog.
The stage appears at the bottom of Active Stages.
Edit a stage
Change a stage's name, color, automation, or collapsed state.
- Select the pencil icon on the stage row.
- Change the Stage name, or pick a new color.
- Choose an option under Move leads here automatically.
- Won, Lost, and Abandoned show no automation option.
- Turn on Start collapsed to collapse the stage's column on the Leads board.
- Select Save changes.
Delete a stage
Delete controls appear only with full access to settings. See Roles and permissions.
- Select the trash icon on the stage row.
- A stage with no leads opens a confirmation. Select Delete stage.
- A stage with leads opens Move Leads Before Deleting. Move leads to defaults to the first other stage; select a different one to change it.
- Select Move leads and delete.
- For stages other than Won, Lost, and Abandoned, the Edit Stage dialog's Delete button starts the same steps.
The stage leaves the board. Its leads move to the stage you chose, if it had any.
Note
Won, Lost, and Abandoned cannot be deleted. Rename or recolor them instead.
Reorder stages and pipelines
Reorder stages
Each move saves immediately.
- Drag a stage by its grip icon to a new position in Active Stages.
- On a keyboard, focus the grip icon and press the up or down arrow key.
- On touch screens, select the up or down chevron icon on the stage row.
Reorder pipelines
Pipeline order also applies on the Leads board.
- Select Reorder in the row below the pipeline tabs. It appears with two or more pipelines.
- Drag a pipeline to a new position, or select its up or down chevron icon.
- Select Save order.
- Select Cancel to close without saving.
Rename or delete a pipeline
Rename a pipeline
Rename a pipeline with the Rename control below its tabs. The new name also appears in the Leads board's pipeline picker.
- Select Rename.
- Change the name in the Pipeline name field.
- Select Save.
Delete a pipeline
Delete a pipeline below its tabs. The control appears only with two or more pipelines and full access to settings.
- Select Delete.
- Select Delete pipeline to confirm.
The pipeline's tab leaves the list.
Note
A pipeline that still has leads cannot be deleted.
Choose the default pipeline
New leads go into the default pipeline unless they are added to a specific pipeline or stage.
- Select the tab of the pipeline to make default.
- Select Make default in the line under the pipeline tabs.
The default pipeline's tab shows a star icon when you have two or more pipelines.
- Default badge: marks the default pipeline in the Reorder Pipelines dialog.
- One default: You can have at most one default pipeline. Making another pipeline the default clears the old one.
- Opening: This page and the Leads board open on the default pipeline.
- No default: The first pipeline in the list opens, and new leads go into it.
Automation options
Each active stage has one automation option, chosen under Move leads here automatically. See Automate Lead Stages for more.
- Never: Leads move to this stage only when you move them.
- When a lead is new: Every new or reopened lead starts in this stage.
- When a quote is sent: Leads move here automatically when you send a quote, if Quote sent advances stage is on under Automations in Settings.
- When a quote is approved: Leads move here automatically when a customer accepts a quote, if Quote approved advances stage is on under Automations in Settings.
Each trigger applies to one stage per pipeline. Choosing one on a stage moves it off the stage that held it, which becomes Never.
Closing stages
Won, Lost, and Abandoned sit under Closing Stages, below the active stages. Leads in these stages count as won, lost, or abandoned. See Track win rates and activity.
- Order: Closing stages have no grip and always sit after the active stages.
- Changes: You can rename or recolor them. You cannot delete them or give them an automation option.
