Handle Quote Requests

Find an instant-quote request, read what the customer priced, and send the estimate yourself when needed.

Each visit to your instant quote tool becomes one request in Quote Requests. Find a request, read what the customer was quoted, add notes, send the estimate yourself, or delete the request. Viewing needs view access to instant quote tools, and changing a request needs edit access, as set in Roles and permissions.

Find a request in the list

Use the list to find any request, newest first.

  1. Open Quote Requests.
  2. Choose a status in the filter, or All for every request.
  3. Type a name, email, phone number, or address in the search box.
  4. Select a request.

The request page opens with its number in the heading.

Each request in the list shows its number, name, address, quotes, total, and the date it arrived. A request with several quotes shows how many there are, followed by their names.

Note

The list shows at most the 500 newest requests. Search and the status filter run before that limit, so an older request appears when it matches.

Add and delete notes

Notes are internal follow-up details that only your team sees.

  1. Open the request and scroll to the Notes card.
    • Without edit access, the note box does not appear.
  2. Type the note in the text box.
  3. Select Add note.

The new note appears at the top of the Notes card.

To delete a note:

  1. Select the trash icon beside the note's time.
  2. Select Delete in the dialog.

The note leaves the list.

Send the estimate yourself

When you run the tool for a visitor while signed in as a team member, the tool holds the estimate instead of emailing it, so you send it from the result step.

  1. Run the tool through to the result step.
  2. Find the Email This Estimate card, directly below the confirmation at the top of the step.
  3. Select Send quote.
    • The button reads Sending… while the send runs. If the send fails, it reads Try again.

The card then says the estimate was sent to the customer's email address, and the button goes away.

Sending emails the visit's estimate to the contact, and the same estimate goes out as a text. A send is refused, or sends nothing, when:

  • Edit access to instant quote tools is missing.
  • The business email is not verified. Until it is, the card has no Send quote button.
  • The contact has no email address.
  • Every quote already has an Emailed time.
  • Too many sends come in a short time.

Each quote that goes out shows an Emailed time on its request.

Note

An instant estimate is not a final price. Your business confirms final pricing with a formal quote.

Turn a request into a quote

Start a formal quote from what the customer priced.

  1. Open the request.
  2. Select New quote.
    • The button appears when the request has a priced quote, you can edit quotes, and Quotes is on your plan.
  3. Check the lines and send the quote as usual.

The editor opens with the customer filled in and one line per quoted service at the tool's price. Valid until starts at the estimate's date, or blank once it has expired. See Create a quote.

Copy the link when you want to send the estimate in your own message.

  1. Open the request.
  2. Select Copy link in the Contact card.
    • The button appears only when the request has a link.
  3. Paste the link into your message.

The customer can open the estimate from that link.

Warning

Anyone with this link can open the estimate, which shows the address and prices.

Delete a request

Deleting a request removes it from the list.

  1. Open the request.
  2. Select Delete request.
    • The button appears only with edit access.
  3. Select Delete in the dialog.

The page returns to Quote Requests, and the request is gone from the list.

Warning

Deleting a request cannot be undone, and the customer's quote link stops opening.

What a request shows

Each priced tool on a request is one quote. The customer sees a visit's quotes together as an estimate.

  • Contact: the customer's name, or the company name when one is set, with Phone and Email links, Source, and Status.
  • Quotes: one card per quote, with Measured, Total, and, when they apply, Emailed, Shown to customer, and Valid until (or Expired once that date passes). Line items and the map appear when there are any. With several quotes, each card reads Quote 2 of 3 and the header shows a combined total.
    • A quote with a lead shows a Lead flow button when the lead pipeline is available on your account. The button opens that lead on the leads board.
  • Shown to customer: the price range the customer sees. It uses the tool's current range settings, so changing them changes this figure.
  • Status: Quoted means the visitor finished the tool. Outside service area means the address is outside your service area, and the request still lands. Not finished means the visitor did not finish.

When the customer gets the estimate email

The tool emails the estimate as soon as a visitor's quote is saved. It covers the visit's finished quotes, up to a fixed limit.

  • Not sent when: a signed-in team member runs the tool, the business email is not verified, or the contact has no email address.
  • Contents: a greeting with the contact's first name, or a general greeting when none is on file. One quote shows its measurements, map, and price. Several quotes show a breakdown, led by the combined total. A range replaces the exact total when any quote hides its exact price. The email links to the quote page when the request has a link.
  • Text: the same estimate also goes out as a text. It counts as sent when either the email or the text lands. If neither lands, the quote stays unsent.
  • Email me this estimate: on the quote page, this button sends a short message with the total and a link, by email and text, once per quote. It needs an email address on the contact and a verified business email. Once an estimate has gone out, pressing the button sends nothing.
