Respond to a Booking Request
Turn a booking request into a job, move it on the Schedule, edit it, or decline it.
A request is a visit a customer asked for, kept as a lead. It shows on the Schedule. A request with no start time, and not set to anytime, sits in the Unscheduled panel.
A booking from your booking page also creates a request, when your account has a lead pipeline with at least one stage.
Convert a request to a job
The Convert form sets the date, times, and assignee of the new job.
- Select Convert to job in the page header to open the Convert form. Select it again to hide the form. The button shows only while the request is open and you can edit it.
- In the Convert to Job card, set the Date.
- Set Start and End in 15-minute steps, or check Anytime to hide them.
- Choose a member under Assigned to, or leave it on Unassigned.
- Select Create job.
The page returns to the Schedule. The request no longer shows there. Creating the job, from the form or the quick view, also needs edit access to the Job Pipeline and the Schedule.
If the request came from your booking page, converting it with a start and end time moves the booked slot to those times. Converting it as anytime, or without both times, removes the booked slot.
You can also convert from the Schedule. Select a request, then select Convert to job in its quick view. It keeps the request's time and assignee and skips the form. The button shows only while the request is open and you can edit the Lead Pipeline.
Move a request on the Schedule
You move a request by dragging it on the Schedule, which needs edit access.
- Drag the request to a time in the Day or Week view, or to a day in the Month view.
- Drag a request from the Unscheduled panel onto the calendar the same way.
- Drag a request onto the Unscheduled panel to take it off the calendar and.
The request moves to its new time or day, or to the Unscheduled panel. In the Month view, a request with no start time, or one set to anytime, takes the day you drop it on as its anytime date. In the Month view, a timed request dropped on another day keeps its time of day.
For the calendar basics, see Introduction to the Schedule.
Edit the request details
The Details card holds the request's title and service details.
- Change the Title in the Details card.
- Change the Service details text.
- Select Save changes.
Save changes saves only the title and service details. The new title shows in the page header.
Note
Save changes is disabled once the request is no longer open.
Change the address
The Address card sets the address the request uses.
- Select the address in the Address card to open the list.
- Choose an address from the list. It starts with Customer default.
- Or select Add to enter a new address. If the customer has no addresses on file, the button reads Add address.
Choosing an address saves it at once, and the Schedule card shows that address. Choosing Customer default uses the address on the customer's contact, and the Schedule card shows it.
Note
The Address card is disabled while a change saves, when the request is not open, or when you cannot edit it.
Decline a request
The request page has no decline control, so you mark the lead Lost on the Leads board.
- Open the Leads page. If the board shows another pipeline, select the pipeline name in the header and choose the request's pipeline under Pipelines.
- Select the request's card to open its lead panel.
- Select Lost, then confirm the prompt.
The lead is marked Lost. Select Reopen in the same panel to undo it.
Delete a request
Delete a request that doesn't belong on the schedule or the leads board at all.
- Select the request on the Schedule to open its quick view.
- Select Delete, then confirm.
The request leaves the Schedule and the leads board for everyone on the team, and a time it held from your booking page is freed. Deleting cannot be undone, and the Delete button shows only with full access to the Lead Pipeline.
What the request page shows
The request page has Customer, Schedule, Address, and Details cards.
- Customer: the name, the company when one is set, and the email and phone when set. Select the card to open the customer's contact. For more, see Introduction to Contacts.
- Schedule: the scheduled time or day, and the address line when one is set.
- Address: the address the request uses. Change it as described above.
- Details: the title and service details.
Select Details in a request's quick view to open its page. Opening it needs view access to the Lead Pipeline. For the access each role has, see Roles and permissions.
