Add, Move, Edit, and Delete an Event

Put an event on the schedule, move or change it, and delete it when it no longer applies.

An event is a block of time on the Schedule that is not linked to a job, such as a site walk or a team meeting. You can add, move, edit, cancel, or delete one. For the layout of the schedule, start with Introduction to the Schedule.

Add an event

Use Create to add an event at a time you choose, or click an empty time slot to start from that time.

  1. Click Create in the schedule header. The button appears on desktop screens only.
    • In the Day or Week view, click an empty time slot instead. The panel opens with that start time.
  2. Click the Event tab. The panel opens on the Job tab.
  3. Enter the Title.
  4. Set the start with Start date and Start. Times move in 15-minute steps.
  5. Set the end with End date and End. The end must come after the start.
    • If the Event tab shows a repeat section, set it as described in Repeat an Event.
  6. Add an Address or Notes if needed.
  7. Click Save.

The event appears on the schedule at its start time, and the panel closes.

Note

The Job tab creates a job. Its Schedule a visit toggle adds a visit to the schedule. See Introduction to Jobs.

To pick an open time for a team member, open Find a Time.

  1. Set Duration, From, Until, and Team member, then click Find slots.
  2. Click a team member's name under Schedule with, or click Schedule this time if the slot lists no member.

Picking a slot closes the Find a Time panel and opens the Create panel with that day, start time, duration, and any team member you chose filled in, on the Job tab. Click the Event tab, then follow steps 3 to 7 above.

Move an event

Drag an event to a new time or day. Its length does not change.

  1. Open the Day or Week view.
  2. Drag the event to a new time slot.
    • On a touch screen, press and hold the event, then drag it.
    • On a repeating event, only the occurrence you drag moves.
  3. In the Month view, drag the event onto another day. It keeps its start time.

The event appears at its new time or on its new day.

Note

Dragging needs edit access to the schedule. See Roles and Permissions.

Edit an event

Open an event to change its title, times, address, or notes.

  1. Click the event. The Edit Event panel opens.
  2. Change any of the Title, Start date, Start, End date, End, Address, or Notes fields.
  3. Click Save.
    • For a repeating event, choose This event, This and following events, or All events, then click OK.
    • A change to the repeat pattern applies to This and following events and All events only.

The event shows the new details, and the panel closes.

Cancel an event

Canceling keeps an event on the schedule instead of removing it.

  1. Click the event.
  2. Click Cancel event.
    • The Cancel event button does not appear on a repeating event.
    • To restore a canceled event, click it and then click Restore event.

The panel closes, and the event stays on the schedule. In the Day and Week views it is dimmed and struck through.

Delete an event

Delete an event to remove it from the schedule for the whole team.

  1. Click the event.
  2. Click Delete.
    • On a repeating event, choose This event, This and following events, or All events, then click OK. Skip step 3.
  3. Click Delete in the dialog to confirm.

The event leaves the schedule.

Warning

Deleting an event cannot be undone.

Who can change events

  • Create, move, edit, and cancel: need schedule edit access. Without it, an event opens read-only.
  • Delete: needs full schedule access.
  • Assignee: events have none. The Event tab has no Assign field, and events show in every team member's Me view.
  • Job visits: open read-only. Details opens the job.
  • Recurring visits: read-only, and they cannot be dragged. Details opens the job or the recurring job setup.
  • Time zone: times show in your browser's time zone.
  • Small screens: the Create button in the header is hidden. A floating plus button opens the same panel instead. The More options menu lists only Unscheduled and Find a time.
