Run the Day from Operations

Check crew progress on the day's routes, track crew locations, and answer customer reschedule requests.

Operations shows each crew with a route that is Dispatched or In progress on the chosen day. Use it to follow the day's stops, answer customer reschedule requests, and check where crews are.

Check crew progress

Check the board during the day to see which crews have late or missed stops.

  1. Open Operations. The board starts on today's date.
  2. To view another day, pick it in the date field with the calendar icon in the page header.
  3. Read the totals across the top: Active crews, Stops done, Running late, and Missed.
  4. Scan the crew cards from the top.
  5. Select a crew card to open that crew's route.

Each crew card now shows that crew's progress.

If no crew is active on the chosen day, the totals and crew cards do not appear. Crews with the most late and missed stops together are listed first. The board refreshes every 30 seconds.

To dispatch a route, see Dispatch a Route.

Read a crew card

Each crew card covers one route for the chosen day.

  • The crew's name and avatar sit beside a badge that reads In progress or Dispatched.
  • A progress bar sits above a line such as 3/8 stops · 38%, which counts completed stops against all stops.
  • When a crew has late stops, a badge shows the count and the word late. A stop is late when it is still pending or en route, its planned arrival passed more than 15 minutes ago, and it is not missed.
  • When a crew has missed stops, a badge shows the count and the word missed. A stop is missed when it was skipped, or when it is still pending after its planned departure time.
  • When a stop is still open, a line starting Next: shows that customer's name and planned arrival time. The next stop is the first pending, en route, or arrived stop in route order.

Approve or reject a reschedule request

Customers propose new dates for a job, and the Reschedule Requests card lists them for users who can edit routes.

  1. Find the Reschedule Requests card on Operations.
  2. Read the customer, the job, the current and requested dates, and the reason if one is shown.
  3. Decide the request:
    • To accept the new date, click Approve. Approve does not ask for a note.
    • To decline it, click Reject. In the dialog, optionally type a note in the Note to the customer field, then click Reject to confirm.

The card reloads after each decision.

Warning

Both decisions email the customer. Approving also changes the job's schedule.

The reject note can be up to 500 characters. If someone already handled the request, the decision does not go through.

Track crew locations

Use the Crew Tracking card to see where crews were last recorded.

  1. Find the Crew Tracking card on the page.
  2. Select Show locations.
  3. Read each row, which shows a crew member's name, a dot, and the time of the recorded location.
  4. Check the map above the list, if one appears.

The card lists each crew member who has a recorded location. Each map marker shows the first letter of a crew member's name.

The dot beside each time is green when the location counts as live. The 30-second refresh updates the board, not the locations, so select Show locations again to reload them.

The card also has a switch labeled Share my location while on a route. Users with full route permission also see Enable GPS tracking for this organization, which turns tracking on or off for the whole organization.

Who can open Operations

  • The page requires permission to edit routes.
  • Crews whose access covers only their assigned work do not get the page.
  • For how permissions are assigned, see Roles and Permissions.
