Tag Leads and Contacts
Label leads and contacts with color-coded tags, then filter the leads board and contact list by them.
Tags are color-coded labels for leads and contacts. You create them on the Tags page, apply them from a lead's detail panel or a contact's page, and filter the leads board and contact list by them.
Create a tag
Create a tag on the Tags page. Tag names are unique in your organization, ignoring capitalization and deleted tags. Names can be up to 40 characters.
- Open the Tags page.
- Click New tag.
- In Tag name, type a name.
- Choose a color from the swatches. New tags start with a random color.
- Click Create tag. If another tag already uses the name, the save fails.
The new tag appears in the list with its lead and customer counts at zero.
Edit a tag
Change a tag's name or color in its edit dialog. The Customer tag can't be edited, and users without edit access can't open a row.
- Open the Tags page.
- Click the row of the tag you want to change.
- Change the Tag name or pick another color.
- Click Save changes.
The list shows the new name and color after the save.
Delete a tag
Delete a tag you no longer use. The Customer tag shows a System badge and can't be deleted.
- Open the Tags page.
- Click the trash icon on the tag's row.
- Click Delete tag in the confirmation dialog.
The tag leaves the Tags page, and it no longer shows on any lead or contact.
Apply a tag to a lead
Apply a tag from a lead's detail panel. The picker leaves out tags the lead already has, and the Customer tag.
- Open a lead from the leads page.
- Click the Tags tab.
- Click Add tag.
- Type part of the tag name in the search field.
- Click the tag you want.
The picker closes once the tag is added. To close the picker without adding a tag, click Done.
Tip
Leave the search field empty to see every tag you can still add.
Remove a tag from a lead
Remove a tag from the lead's Tags tab. The Customer tag shows a lock icon instead of the remove control, and the server refuses to remove it.
- Open the lead you want to change.
- Click the Tags tab.
- Click the x icon on the tag you want to remove.
The tag is removed from the lead.
Apply or remove a tag on a contact
Change a contact's tags from the Tags card on its page.
- Open the contact from the contact list.
- In the Tags card, click Add tags. Once the contact has a tag, the button reads Edit tags.
- Check a tag to add it, or uncheck it to remove it.
- To remove a tag without opening the list, click the x icon on the tag in the card.
The card shows the change right away. The Customer tag shows a lock icon and can't be added or removed by hand.
Tip
With no tags in your organization yet, the card offers a link to create one.
Filter by tag
The leads board and the contact list each have a Tags filter once your organization has a tag.
- Open the leads page or the contact list.
- Click Tags and check one or more tags. The button reads Tags (2) with two selected.
- To show everything again, clear the selection.
A lead or contact shows when it has any of the selected tags. The filter is kept in the page link, so you can bookmark or share it. On the contact list it works together with search and the customer filter, and on the leads board you can still drag cards while it is on.
Where tags appear and who can change them
Lead cards show the first tag as a colored label, and a count badge covers any others. Hovering the badge lists their names. The Tags tab label gains a count once a lead has tags. On the Tags page, each row shows how many leads and customers have the tag.
Viewing the Tags page needs settings view access. Creating and editing tags need settings edit access, and deleting needs full settings access. Applying or removing a tag on a lead needs edit access to the lead pipeline, and on a contact it needs edit access to contacts. For the roles behind these levels, see team permissions.
Tags on contacts
Contacts also get tags from automation, from CSV import, and from merges. Turn on Tag as Customer on Won in Automations, and a lead marked Won tags its contact as a Customer. Each organization has one Customer tag. The database seeds it, and automation creates it if it is missing.
A CSV import applies tags to the contacts it imports. It reuses a tag whose name matches without regard to capitalization, and creates the tag when none matches. Merging two contacts moves the tags of the merged contact to the contact you keep.
