Merge Duplicate Contacts
Combine duplicate contacts into one, keeping their quotes, jobs, invoices and notes.
Merging combines two to 10 duplicate contacts from the Contacts page into one contact. The oldest selected contact stays, and the others are removed from the app with their work moved onto it. New to contacts? Read Introduction to Contacts first.
Select the duplicate contacts
On the Contacts page, the selection bar appears once you select a contact.
- Tick the checkbox at the start of each duplicate's row.
- To select every contact on the page, tick the checkbox beside Name in the header row, or click Select page.
- Click Merge in the selection bar.
- Merge stays disabled until two contacts are selected, and again when more than 10 are selected.
The Merge Contacts dialog opens and previews the merged contact.
Note
Only roles with full access to contacts see the checkboxes and the Merge button.
Choose the values to keep
Only fields where the selected contacts hold different values need a choice. When they agree, the dialog has nothing to choose.
- Under Choose What to Keep, select the value to keep for each field, such as Email or Phone.
- Each option says which contact it comes from.
- The oldest selected contact that has a value for the field is selected by default.
The Merged Contact card updates to show the value you picked for each field.
Merge the contacts
Merging happens only when you confirm in the dialog. Under Contacts Merged Into This One, the dialog lists the contacts that will be removed.
- Check the Merged Contact card for the name, email, phone and business you expect.
- Click Merge contacts.
- If a selected contact was deleted, or a value you picked no longer exists on its contact, the merge does not run and nothing changes. Reload the page and select the contacts again.
- If the merge fails for any other reason, the dialog stays open and nothing changes.
The dialog closes, the selection clears, and the list refreshes. To close the dialog without merging, click Cancel.
Warning
Merging cannot be undone. The other contacts no longer appear in the app, and values you did not keep are not carried over.
What moves to the merged contact
- Name, Email, Phone and Business take the value you picked. Otherwise they take the first value any selected contact has, oldest first. Emails are saved in lowercase. Phone numbers that differ only in formatting count as the same number.
- Notes from every selected contact are combined in merge order. A paragraph that appears more than once is kept once.
- Every address moves to the merged contact. Addresses that match on street, unit, city, state, postal code and country, ignoring capitalization and surrounding spaces, become one address. That address keeps the dog warning if any copy had one.
- The merged contact keeps its own primary address if it has one. Otherwise the oldest address becomes primary. Jobs, leads and recurring jobs at a combined address move to the address that is kept.
- The contact's own street, city, state, postal code and country come from the most specific address any selected contact has.
- Texting consent is combined only across selected contacts that share the kept phone number. The earliest consent date is kept. If any of them opted out of texts, the merged contact stays opted out.
- Every saved card stays on the merged contact, and nothing is deleted in Stripe. The charged card comes from the oldest selected contact that has one. If two or more selected contacts have saved cards, you can switch the charged card from the contact's payment method.
- Source, campaign and tracking details move together from the oldest selected contact that has any of them.
- Assigned team member, date of birth, industry and website take the first value any selected contact has, oldest first.
- Lifetime adds up the totals of all selected contacts. The Customer badge shows the combined count, and the last closed date is the latest one.
- Tags from all selected contacts are combined, with no duplicates. See Tag Leads and Contacts.
- Quotes, invoices, jobs, leads, bookings, messages, calls, reviews and activity point to the merged contact, including deleted items.
- The merged contact keeps its own QuickBooks link. If it has none, it takes the oldest duplicate's link. If QuickBooks is connected, the merged contact is queued to be pushed to QuickBooks.
Limits
- A merge combines at most 10 contacts.
- If the combined notes from the selected contacts are longer than a contact's notes can hold, the merge does not run and nothing changes. Shorten the notes on one contact, then try again.
