Request Time Off
Request time off, follow its status and balance, and approve or deny your team's requests.
Use Time Off to request days off, see the status of each request, and check your balance for each policy you are enrolled in. Managers review requests on the same page. For how time tracking works overall, read Introduction to Time Tracking.
Request time off
Submit a request for days off under a policy you are enrolled in. The request stays pending until a manager reviews it.
- Click Request time off.
- The button appears only for an active employee with at least one active policy you are enrolled in.
- Choose a Policy. The list shows only active policies you are enrolled in.
- Set From to the first day off.
- Set To to the last day off. The To date cannot be earlier than From.
- Optional: enter a Reason, up to 1000 characters.
- Click Submit request.
The request form closes, and the new request appears at the top of Requests with the status Pending.
Before you submit, the form shows the hours the range covers. Days without scheduled time and company holidays are not counted.
Your schedule comes from the availability you set, covered in Set Your Availability. A range with no scheduled hours cannot be submitted, and Submit request stays disabled.
Note
A request can be larger than your balance and still be submitted. Its approval checks the balance, unless the policy allows a negative balance.
Cancel a request
Cancel a request you submitted while it is pending, or while it is approved and has not started yet. On a balance-tracked policy, cancelling an approved request returns its hours to your balance.
- Click the request in Requests. Its details open in a side panel.
- Click Cancel request.
- The button appears only on your own pending or approved requests, for an active employee with at least one active policy you are enrolled in.
- An approved request that has already started cannot be cancelled from this page.
The status changes to Cancelled, and the side panel closes.
Approve or deny a request
Managers with full time tracking permission review pending requests from the side panel. Access depends on role; see Roles and Permissions.
- Click a pending request in Requests.
- Optional: enter a note in Note for declining, up to 500 characters. The note is saved with the request for either decision.
- Click Approve or Deny.
- On a policy that tracks a balance, an approval debits the request's hours from the employee's balance, dated to the start date.
- An approval is refused if the employee is no longer enrolled in the policy, or if the balance is short and the policy does not allow a negative balance. The request stays pending.
The status changes to Approved or Denied, and the side panel closes. Reviewed requests move below the pending ones. The details then show who reviewed the request, when, and the note.
Warning
A manager cannot reverse an approval or denial on this page. Only pending requests can be reviewed.
Request statuses
- Pending: waiting for a manager to review the request.
- Approved: a manager approved the request. On a balance-tracked policy, its hours are debited.
- Denied: a manager denied the request. No hours are debited.
- Cancelled: the employee cancelled the request. On a balance-tracked policy, the hours of an approved request return to the balance.
Balances and holidays
- Your Balances: one tile per policy you are enrolled in. Select a tile to see its balance history. Under the balance, the tile shows how the policy accrues, such as 8h per month, up to 40h. An unlimited policy shows Unlimited and never debits hours.
- Upcoming Holidays: company holidays are days off for everyone and never use your balance. The card lists up to 12 upcoming holidays.
- Amount: the hours for a paid policy, or Unpaid for an unpaid one. The hours are fixed when you submit, so later changes to your availability do not change them. Payroll is covered in Run Payroll.
Who sees which requests
- Anyone whose time tracking access is limited to their own records sees only their own requests.
- Everyone else sees every request, with a Team member column.
- The list shows the 100 most recently submitted requests.
