Set Up Appointment Types
Offer bookable services with a set duration, weekly hours, and the team members who take each one.
A service is an appointment type that customers book from a booking page. Each service sets how long a booking runs, when it is offered, and which team members take it.
Add a service to a booking page
Each booking page lists its services under Services, and each service belongs to one booking page. Only people who can edit bookings see Add service.
- Open Bookings.
- Select the booking page in the list.
- Select Add service in the Services section.
- Fill in the settings in the sections below.
- Select Create service.
The booking page opens with the new service in the Services list, showing its duration and team member count.
Note
Saving a service requires permission to edit bookings.
Duplicate a service
Duplicating creates a new service on the same booking page, with the same settings, weekly hours, and team members as the original. The name is required and can be up to 200 characters.
- Select Duplicate on the service's card in the Services list.
- Enter a Name for the copy.
- Select Duplicate in the dialog.
The copy appears in the Services list, and the dialog closes.
Turn a service on or off
The Active toggle sets whether a service is active.
- Select the service in the Services list.
- Turn Active on or off.
- Select Save changes.
A service that is turned off shows an Inactive label in the Services list.
Customers do not see an inactive service on the public booking page. Customers see no open times for an inactive service.
Delete a service
Deleting a service does not delete bookings already made for it. Only people with full access to bookings see Delete service.
- Select the service in the Services list.
- Select Delete service at the bottom of the editor.
- Confirm the deletion.
The booking page opens, and the service is no longer in the Services list.
Warning
Customers cannot book a deleted service.
What each setting changes
The service editor has these settings.
- Name is required and up to 200 characters. Description is optional and up to 2000 characters.
- Color sets the service's color. A new service starts with your brand color, or "#027dc3" when none is set.
- Duration is 5 to 480 minutes in steps of 5, with 30 by default. Each booking runs for this long.
- Buffer before and Buffer after are 0 to 240 minutes each, with 15 by default. A buffer adds that much time before or after a booking, and that time must be free of other busy time.
- Slot interval is 5 to 240 minutes, with 30 by default. Start times begin at the start of each window and repeat at this interval. A start time is offered only when the booking ends by the window's end.
- Minimum notice is 0 or more, in minutes, hours, or days, and defaults to 1 day. A start time is offered only if it is at least this far from now.
- Maximum days in advance is 1 to 365, with 60 by default. A start time is offered only if it is no later than this many days from now.
- Customer address is Required, Optional, or Don't ask, and defaults to Required. Customers are asked for an address unless this is set to Don't ask, and must give one when it is Required.
Weekly hours
Each day of the week, Sunday through Saturday, has its own list of windows, and a service is offered only inside them. A new service starts with one 9:00 to 17:00 window on each weekday from Monday through Friday.
- A day with no windows shows Add hours. The plus icon at the end of a day's row adds another window to that day.
- The trash icon at the end of a window removes it.
- A window must end after it starts. The form does not save while a window breaks this rule or while no window exists.
- Hours are read in your organization's time zone.
- Saving a service replaces its weekly hours with the windows on screen.
Who is booked
A service needs at least one team member, and a time is offered when at least one of them is free. A team member is free for a time only when all of these are true:
- The date is not a company holiday.
- The date is not inside approved time off.
- The time fits inside one of the team member's working hours. A team member with no working hours is free at any hour.
- No busy time for that team member overlaps the time, including its buffers.
- No company-wide busy time overlaps the time, including its buffers.
Calendar time on a team member's schedule blocks the times it overlaps. A recurring event blocks only the team members it invites. A recurring event with no invitees blocks the whole organization.
