Introduction to Contracts

Write an agreement or bring in a Word or PDF file, send it to everyone who needs to sign, and see who has signed.

Contracts is where you write an agreement and get it signed online. Each signer gets a personal link by email and signs with their name and a drawn signature. A quote prices work for approval; a contract holds terms people sign, like a service agreement or a work authorization.

Write a contract

A new contract starts as a draft that saves as you type.

  1. Open Contracts.
  2. Select New contract. An untitled draft opens.
  3. Type the title at the top.
  4. Write the contract text below it.
    • To start from saved text instead, select Start from a template.
    • To bring in an existing document, select Import a Word or PDF file.

The draft shows a Draft badge, and Saved appears at the top once your changes are in.

Tip

Once the draft has text, the same choices sit in the More contract actions menu as Use a template and Import file. Both replace the current text after you confirm.

Import a Word or PDF file

Importing copies a file's text into the contract, ready to edit. The file itself isn't kept.

  1. Select Import a Word or PDF file.
  2. Drop the file on the panel, or select Choose file.
  3. Select Import file.

The text fills the editor. A contract with no title yet takes the file's name.

Note

Files can be PDF or .docx, up to 5 MB. A scanned PDF has no text to import.

Add signers

The Send for Signature panel beside the contract lists who signs. On a small screen, open it with Signers.

  1. Under Contact, choose a contact. Their name and email fill the first signer.
    • Contact shows only if your role can view contacts.
    • Choosing another contact later replaces that signer, unless you typed someone else there.
  2. Select Add signer for each other person.
  3. Enter each signer's full name and email.
  4. Add a Message for the signing email, if you want one.

Each signer needs a name and a valid email, and each email can sign once. Remove a signer with the remove button beside them.

Send for signature

Sending emails every signer. After that, the contract text can't change.

  1. Select Send for signature at the bottom of the panel.
    • It stays unavailable until the contract has a title, text, and signers with valid details. The reason shows above the button.
  2. Check the names and emails in the list.
  3. Select Send contract.

The status changes to Waiting for signatures.

Each signer gets an email from your organization with your message and a Review and sign button. Replies go to the Business email in Business settings. Without a business email the contract is still sent, but the signing emails are not, so add one and use Email again. Sending needs a verified email address.

Warning

Signing emails go straight to real people. Check every address before you send.

What signers see

The link opens the contract under your organization's name. Signers don't need an account.

  • Sign contract: they confirm their full name, draw their signature, and sign. The signature shows under the contract with the date and time.
  • Decline: they can give a reason, then select Decline contract. No one else can sign after a decline.

When the last person signs, every signer gets an email linking to their signed copy. The team member who sent the contract gets an email when everyone has signed, or when someone declines, with their reason.

Follow a contract

The list shows each contract's Status and how many have Signed. Open a contract to see its Signers panel.

  • Each signer shows Not opened, Opened, Signed, or Declined, with when they were last emailed, opened the link, or signed.
  • While someone hasn't answered, Copy signing link copies their personal link so you can send it another way.
  • Email again sends their signing email again.
  • Activity lists each step with its date and time, such as Sent for signature, Opened, and Signed. Steps a signer took also show their IP address.
  • Document Fingerprint is a code for the text as sent. Every signature is tied to it, so any later change would show.

A contract moves through these statuses:

  • Draft: not sent yet, and still editable.
  • Waiting for signatures: sent, with at least one person yet to sign.
  • Signed: everyone signed.
  • Declined: a signer declined, so no one else can sign. Make a new contract to try again.
  • Voided: you stopped it before everyone signed.

Void or delete a contract

Voiding stops a contract that is waiting for signatures. Signing links stop working, and signatures already given stay on record.

  1. Open the contract.
  2. Open the More contract actions menu.
  3. Select Void contract.
  4. Confirm voiding it.

The status changes to Voided. A voided contract or a draft can then be removed with Delete contract in the same menu. Signed and declined contracts stay.

Reuse text with templates

Templates hold agreements you send often, ready to start a new contract from.

  1. On Contracts, select Templates.
  2. Select New template.
  3. Name the template and write its text.
  4. Select Save template.

From a draft, Save as template in the More contract actions menu saves its text as a template named after the contract. In the templates list, Use template starts a new contract from that template. Its menu holds Edit template and Delete template. Deleting a template leaves contracts made from it unchanged.

Limits and access

  • A sent contract can't be edited. Void it and write a new one instead.
  • There is no PDF download yet. Signed copies live online, at each signer's link and in Contracts.
  • Contracts is part of the Growth plan.
  • Each person's role sets their access to Contracts. See Roles and permissions.
    • View: read contracts and templates.
    • Edit: write, send, email again, void, and manage templates.
    • Full: everything Edit allows, plus deleting contracts and templates.
