Log every business expense on one monthly sheet

Type each cost into the month's sheet, file it against the job it paid for, and read what the month cost.

Track the Spending

From the first purchase to the month's total

Log it, file it to a job, let crews add their own, and read the month in one list.

  1. 01 Pick or Add

Payees, categories and cards fill in as you type

Start typing and the sheet suggests your saved payees, categories and payment methods. A payee it has not seen before is added on the spot.

  2. 02 Job Costs

File each cost against the job it paid for

Pick the job from the expense row, or create a new job without leaving the page. The row then links straight to that job.

  3. 03 Crew Expenses

Crews log their own costs against their own jobs

Techs and team leads see and edit only the expenses they logged. They can file a cost only to jobs assigned to them.

  4. 04 Month Totals

See what the month cost, QuickBooks purchases included

Each month opens with its own list and total. With QuickBooks connected, its purchases join the same list as read-only rows.

FAQ

Questions we get asked

Open Expenses and type into the top row of the month. Pick or type a payee, a category and how it was paid, then enter the amount. The row saves as soon as the amount is above zero, and Enter or Tab moves you to the next field.

Yes. Every expense has a Job field, where you pick an existing job or create a new one. The expense then links to that job. Crew members see only the jobs assigned to them in that list.

Every organization starts with ten categories: Materials, Fuel, Equipment, Tools, Subcontractors, Vehicle, Permits & fees, Office, Meals and Other. Cash and Check come set up as payment methods, and you add your own cards and bank accounts. Rename, remove or add entries in expense settings. A removed entry keeps showing on the expenses already filed under it.

Yes. Techs and team leads log their own expenses and see only the ones they logged. They can file a cost only to a job assigned to them, and they can add a new payee as they type. Deleting expenses and editing the lists stays with admins and managers.

Yes, in one direction. With QuickBooks connected, its purchases appear in the month they were made, beside the expenses you logged, and count toward that month's total. They are read only here, so you change them in QuickBooks. Expenses you log in JobWise Pro are not sent to QuickBooks.

Deleting an expense removes the row at once and offers Undo for a few seconds. Undo puts the expense back with every field it had. Removed payees, categories and payment methods can be brought back the same way.
